A global insurance group’s actuarial team needed a way to quickly locate actuarial-specific content from within a large LAN directory. Optima designed and delivered an automated search-bot with a classification engine, back-end database, and front-end interface, giving actuaries faster, more reliable access to the information they needed.

Context:

The actuarial team was spending excessive time searching through large volumes of unstructured data in the form of files to find actuarial-specific content. The immediate need was to focus on Excel, but the solution also had to be scalable to other formats.

Optima addressed this by creating a proof-of-concept search-bot that classified documents, stored metadata for retrieval, and provided a straightforward interface for testing and day-to-day use.

Outcome:

  • Always-on discovery of actuarial content, reducing time spent on manual searches

  • Accurate classification and retrieval of domain-specific documents through AI-powered analysis

  • A user-friendly interface that gave actuaries faster, more confident access to relevant information

  • A scalable proof of concept providing the foundation for future expansion across other document types

What we delivered:

  • A search-bot that scans the LAN directory for actuarial-specific content and updates automatically as files change

  • An AI-driven content analyser to classify documents into actuarial categories for more relevant retrieval

  • A back-end database storing content metadata and classification intelligence to support the search function

  • A tailored front-end UI enabling actuaries to perform efficient, intuitive searches and test results in real time

Testimonial: “This project demonstrated how targeted automation and AI can transform a specialist workflow. By combining accurate classification with a simple user interface, we enabled actuaries to discover and use relevant content far more efficiently, laying the groundwork for broader adoption.”
